Booking Procedure

The following terms and conditions and the provisions contained in ‘The Bungalow Camp Caravan Park Holiday Booking Terms and Conditions’ will apply to your booking.

The person who books the holiday accepts all the terms and conditions contained in the ‘The Bungalow Camp Holiday Booking Terms and Conditions’ and the terms outlined in the ‘The Bungalow Camp Caravan Park Site Rules’ on behalf of all party members. A contract between yourself and The Bungalow Camp Caravan Park will come into existence.

  • If the booking is made via telephone you will verbally be given the booking reference.
  • If you book via the Internet you will be informed that your booking has been confirmed and you will receive a booking reference.

The contract binds you and all party members; it is your responsibility to ensure that all party members accept the full terms and conditions of the booking. Remember to include all members of your party and your full postal address when booking. Failure to disclose all relevant information or comply with the conditions may lead to termination of the contract and loss of booking.

Only those people named on the booking are entitled to occupy the accommodation at any one time.  On breach of this condition the booking will be cancelled.  No refund will be made for the unexpired portion of that booking

We reserve the right to decline or terminate the booking of any guest(s) whose party make up or behaviour interferes or may interfere with the comfort of other guests. In the event of this happening NO refund will be given. We reserve the right to refuse bookings or entry to the park.

How to book and pay for your holiday

There are a number of options available to you when booking your holiday. These are:

  • Over the phone (01745 334897) using a debit/credit card
  • Online via our website, www.thebungalowcamp.com

A minimum non-refundable deposit of fifty pounds (£50.00) per caravan per week is required to secure your booking. The balance is to be paid 28 days prior to your holiday start date. Please note it is your responsibility to ensure the payment is received on time for the outstanding balance. We do not send reminders. If payment is not received by the due date, then your booking will be cancelled and a reinstatement fee will apply.

If booking are made within 28 days of your holiday date, payment must be made in full either via credit/debit card or cash.

Please bring your booking confirmation with you upon arrival.

Cancellation Plan

Once the fifty pounds (£50.00) deposit amount is paid your caravan is secured. If you wish to cancel your holiday, the fifty pounds (£50.00) deposit amount will not be refunded.

If cancellation occurs within 7 days of arrival the total amount is forfeited and retained by The Bungalow Camp Caravan Park or the caravan owner.

If you have not arrived by 8am on the morning after your holiday was due to commence or contacted the park to confirm when you will arrive, we will assume that the holiday is cancelled and the total holiday cost will be forfeited. We reserve the right to re-let the accommodation unit.

If we cancel your booking

 We always endeavour not to change the date or cancel your booking, but in exceptional circumstances, this may be necessary. We will inform you of the change of date or cancellation as soon as possible and give you the following options:

  • Accept the alternative arrangements as notified to you
  • Choose another available break from us at the advertised price
  • Cancel your holiday with a full refund of any money you have paid

 In other circumstances, including those arising from force majeure, we do not pay compensation. Force majeure means circumstances beyond our control including (but not limited to) industrial disputes, natural disasters, fire, technical problems, bad weather and acts of government.

If we change your holiday during your stay

We will always try wherever possible to limit any changes to your holiday during your stay, however we cannot accept responsibility or compensation for factors outside of our control, for example circumstances such as force majeure. Force majeure means circumstances beyond our control including (but not limited to) industrial disputes, natural disasters, fire, technical problems, bad weather and acts of government.

Any alterations to your booking

We will always try our best to make sure that the caravan offered in the brochure and on the website are available, however there is a possibility that we may be required to change some elements in advance of your booking. Should the situation arise we may need to relocate your caravan, it will be of the same grading.

If we cancel your booking

We always endeavour not to change the date or cancel your booking, but in exceptional circumstances, this may be necessary. We will inform you of the change of date or cancellation as soon as possible and give you the following options:

  • Accept the alternative arrangements as notified to you
  • Choose another available break from us at the advertised price
  • Cancel your holiday with a full refund of any money you have paid

Changes to your holiday by you

After confirming your holiday and payment of deposit you may wish to make an amend to the details e.g. type of accommodation or lead name, we will try our best to meet your request depending upon availability. Please phone us and also put your request in writing.

Key Fee Deposit

A key fee deposit of one hundred pounds (£100.00) is payable on arrival via credit/debit card. A holding deposit will be placed on your card and refunded within 10 working days of your departure date, after inspection of your caravan and as long as no problems are found. The key deposit is for any damages or breakages that may occur in the caravan during your stay and any evidence of smoking within the caravan. Please report to reception any discrepancies or problems with your caravan within 24 hours of your arrival.

Arrival Date

On the day of your arrival your caravan will become available for your occupation at 2.00pm. In busy periods these times may vary and possibly be slightly later. Accommodation will be available once it has been cleaned and prepared for you. We are happy to welcome you at the park earlier, though we cannot guarantee an early check-in. We reserve the right to delay this time in order to maintain our standards.

Late Arrivals

Persons expecting to arrive after 5pm must inform reception, on the date of arrival, by telephone or in writing, to arrange collection of keys. Unless the Park is previously notified, you must claim your accommodation by 8am on the day after your holiday was due to start, otherwise we will treat your booking as cancelled.

Checking Out Procedure

You must vacate your accommodation by 10:00am on your departure date. Should you wish to leave before your departure date or early in the morning, please inform Management at reception.

Bedding & Lining

Please ensure that you bring your sheets and towels for your stay. Quilts, pillows and mattress protectors are provided. Any damage found to these items will result in a loss of key fee deposit.

Family Holiday Park

The Bungalow Camp is a family holiday park. Children remain the responsibility of their parents or guardians at all times. Please ensure you always know where your children are.

Singles and Young People

Sorry we do not accept bookings from all male or all female parties. We cannot accept any parties of people under the age of 18. Other parties of young people are taken at the discretion of Management only. Please note, you or members of your party may be asked for ID to prove you/they are 18 on arrival, if you/they look younger than 21 years of age.

Special requirements

 If you have any special requests regarding your holiday accommodation please advise us when making your booking and confirm your request in writing either by post or email including your telephone number in case of any query. We will endeavour to meet your requests, however this cannot be guaranteed and is not a condition of booking.

Should the situation arise we may need to relocate your caravan, however it will be of the same grading.

Dogs

You are welcome to bring your dog with you on holiday in selected A and B caravans. There will be a fee of thirty pounds (£30.00) per dog per week. Dogs are not to be left unattended in the caravan at any given time. All dogs must always be on a lead while on the caravan park. We would ask you to bring your dogs basket or bedding and do not allow your dog on the seating or bedding of your caravan. In the interest of hygiene please ensure that your dog is cleaned up after at all times and does not cause a nuisance to other holidaymakers. Failure to do so will result in termination of your holiday. For more information regarding our dog policy please contact reception.

Limitation Of Liability

We accept responsibility of those arrangements for your holiday which are within our control, but we cannot accept liability for any injury loss or damage suffered by you or any member of your party, unless one of the following applies:

  1. There was a wilful default by us, our employees or agents, or;
  2. Death or personal injury was caused by the negligence of The Bungalow Camp, our employees or agents

No action can be taken in respect of any complaint not bought to the attention of the Manager. Please see the section entitled ‘If you have a comment’ for full details of our customer service policy.

The Park Layout

The park may be unfamiliar to you, we suggest you acquaint yourself with the park as soon as you arrive. You need to take care when walking over grassy and often undulating ground, as they may contain obstacles you need to avoid. Please take care when walking around the park especially at night, we recommend carrying a torch to assist you and to avoid any holiday accidents.

Your health, safety and park rules

By booking a holiday at The Bungalow Camp, you are agreeing to conform with and accept the site rules, a copy of which can be obtained from reception. These regulations are for you and your families health and safety and to ensure that you obtain the maximum enjoyment from your holiday. The Bungalow Camp reserve the right to require you and any members of your party to leave the park where there is a breach of the park rules, no compensation will be given.

Smoking Policy

Smoking (including e-cigarettes) is strictly not permitted in our holiday accommodation, in accordance with Government Legislation. Any trace or smell of smoke will result in the loss of your deposit. Please note, we cannot guarantee that the accommodation has never been smoked in.

Personal Possessions

You and your party are responsible for the safekeeping of any personal possessions in the accommodation and on the park. You are also responsible for the safety of any electrical items that you bring with you on your holiday.

Your Caravan

Only those people listed on the booking can occupy your accommodation and the accommodation must not exceed the maximum capacity stated. If this legal requirement is not met, your booking will be terminated and you will be asked to leave, with no refund made. We require you to register any visiting friends and family.  Invited guests cannot stay in the accommodation overnight and must leave the park no later than 11pm.

Unacceptable behaviour

For the convenience of our guests, we reserve the right to terminate the party’s holiday without compensation, where the unreasonable or criminal behaviour of the persons in the holiday party or guests of the party, might impair the enjoyment, comfort or health of other guests, our team members or staff. This may include but is not limited to verbal or physical abuse and high noise levels at the Manager’s discretion.

Infectious or contagious diseases

Infectious or contagious diseases could easily be passed to other guests while on holiday. You must inform the Manager should you or any member of your party contract any such illness while on holiday. In order to protect our guests and staff, anyone found to have such a condition may be confined or requested to leave the park. Please note that in such circumstances we are unable to offer refunds and we therefore recommend you take out insurance.

Website/brochure accuracy

We take every care to ensure that the details on our website and in our brochure are accurate at time of going live/to print. Photographs are intended for guidance only and do not represent the actual caravan that you have booked. Layout are for illustrative and guidance purposes only. Brochure charges are subject to change and may go up or down in response to changing market pressures. Activities promoted within this brochure are subject to minimum numbers and may incur an additional charge.

Care of facilities

Please treat the property, facilities and accommodation at the park with respect and care so that other guests may continue to enjoy them. In the event that you notice damage to any facility or in your accommodation, please report it to reception immediately so that we can take appropriate action. Your accommodation will be checked at the end of your holiday and if we consider the accommodation has been left in an unreasonable condition, or there is any damage or loss found, you will be charged. We reserve the right to enter the accommodation under any special circumstances or emergencies.

Vehicles

We will only accept an appropriate amount of vehicles on the Park relating to the occupancy of the caravan. Parties with two vehicles or more will only be accepted at the discretion of the Park Manager. If the Manager’s decision is not adhered to, then we reserve the right to terminate the booking with no refund. No motorcycles, commercial vehicles, quad bikes, scooters or other such vehicles (including motor homes) are permitted on Park without written permission from the Manager.

Prices

Whilst our reservations staff will always try to give accurate information and price quotations to telephone enquiries, we cannot accept responsibility for such information unless it is confirmed by us in writing. Brochure charges are subject to change and may go up or down in response to changing market pressures.

Data protection

The information you give us in connection with your booking is held securely on our computer system and dealt with in accordance with the Data Protection Act. By providing us with the information you are deemed to accept this and to have the consent of all members of your party to this. We keep this information to help us improve our service to you and to provide you with information about our holidays by telephone, email and post. If you have registered to receive news and special offers by post, email or by any means other than booking then we will contact you by your preferred contact method to keep you informed of our latest news and offers. If you would prefer not to receive this information, please write and inform us, at The Bungalow Camp Caravan Park, Morfa Avenue, Kinmel Bay, RHYL ll18 5le.

We will not disclose this information to any person outside the company other than our agents and contractors for the purpose of carrying out your instructions, unless we are legally required to do so, or for the purpose of crime prevention. We use CCTV cameras at some locations on our Caravan Park for crime prevention and safety reasons.

Use of cookies

This is only applicable if you use our website. Our website may use ‘cookies’, a piece of software that asks permission to be placed on your computer’s hard drive. Cookies are used for website tracking purposes and the application can tailor its operations to your needs, by remembering selective information about your last visit. Any tracking or the use of cookies is used solely for the purpose of the company and is only used for statistical information, to help us improve our website offerings, circumstances or emergencies. There is one exception to the legislation, which means that ESSENTIAL cookies which are specifically needed for a key function of a website (User Experience or UI related) WILL NOT need to be opted in to. Example: If you visit us to buy a holiday and we specifically require a cookie in order to complete the transaction, then we can drop this cookie on to your machine without asking permission.

If you have a comment

If you are dissatisfied with any aspect of your holiday, please speak to a member of staff at reception, who should be equipped to rectify. However, if you are still dissatisfied, you must then make an appointment to see the Manager and record your complaint with them. If, at the end of your holiday, you feel that we have not dealt with your complaint satisfactorily, please write to the Manager at the Park, no later than 28 days after the end of your holiday. We are only able to take action on any complaints that are first brought to the attention of the reception team whilst you are on your holiday and secondly received in writing within 28 days, unless there are exceptional circumstances.

General

Please note that all points covered in the ‘Holiday Booking Conditions’ also form part of this Holiday Contract. All bookings are subject to these terms and conditions and to availability.
